MAKING AN APPOINTMENT
Office hours are by appointment only. You can call to make an appointment from 7:00am to 5:00pm on Monday through Friday, and from 7:00am to 2:00pm on Saturday. If you need to make a well child check-up appointment, please call after 9:00am as our first 2 hours hold priority for emergency sick appointments. You can also request an appointment online through our Appointment Request form, and one of our office staff will call you to arrange your appointment time. We do not have walk-in hours. Please be aware that there are fees for missed appointments.

Parents and care givers will be asked to complete a Registration Form if:
  • You are new patient to our practice.

  • Your address has changed since your last visit.

  • Your insurance information has changed since your last visit.

  • You have not been to our practice in a year.

  • Any of your employment information changes.

    WELL CHILD CHECK-UPS
    Our routine screenings for vision, hearing, development, and laboratory are provided at the appropriate intervals as recommended by the American Academy of Pediatrics. Hearing screening includes real tone audiometry and tympanometry. Vision screening includes Pediavision automated vision assessment which can be used on babies starting at 6 months of age. Well child check-up visits are scheduled for 10-20 minutes depending on the age and child. Our clinician schedules are generally open three months in advance.

    NURSE ADVICE AND SICK VISITS
    Our nurses are available for advice over the phone. You can also view resources for common pediatric questions, and advice on how to handle common pediatric problems through our Resources and Information for Parents page.

    Sick visits should be scheduled for same day visits. Routine sick visits are scheduled between 10-20 minutes long depending on the illness and child.

    AFTER HOUR EMERGENCIES
    If you believe your child is experiencing a life-threatening emergency, CALL 911.

    In addition, the On-Call clinician is available after hours to handle urgent questions and situations. To speak to our On-Call clinician, call our office main line, and select the prompt to be connected to the On-Call clinician. The answering service will relay your child's name, age, and basic problem to the clinician on call. Your call will generally be returned within 5 to 30 minutes. Please call back if you have not received a call within 30 minutes; occasionally messages are transmitted incorrectly and need to be restated.

    LABORATORY
    We are able to perform important medical laboratory tests in both offices. Pediatric illnesses often require immediate and accurate results to help direct appropriate treatment. Our labs are approved by the federal regulatory agency CLIA to perform the following tests:

  • Complete Blood Counts (CBC) with Manual Differential

  • Erythrocyte Sedimentation Rate (ESR)

  • Serum Cholesterol and Lipids Levels

  • Urinalysis

  • Urine Culture with Antibiotic Sensitivities

  • Rapid Strep Test (OIA)

  • Throat and Nasopharyngeal Culture

  • Flu Test

  • RSV Test

  • Glucose (Sugar) Level

  • Bilirubin (Jaundice) Level

  • Pregnancy Test

  • We can also obtain specimens and arrange for transport of specimens to reference labs for specialized tests as well as for certain insurance plan lab arrangements.

    Most insurance companies will pay for the tests we perform in our office lab or for the handling of specimens. Several insurance companies do not participate with our federally qualified medical office laboratory or reimburse below acceptable levels for our services. Your insurance company requires you to use only their designated laboratory. We have a list of laboratory locations for your convenience.     PRENATAL VISITS AND NEWBORNS
    Congratulations on the upcoming birth of your baby! We would like to take the opportunity to welcome you to the Virginia Pediatric Group.
    Your introduction to care begins with a prenatal interview. Your visit includes an opportunity to see and feel the spirit of the office. You may observe and meet with some of our nursing and support staff, then discuss the upcoming birth of your baby with the doctor.
    In addition, our physicians are privileged to coordinate and supervise the care of your newborn at both Inova Fairfax Hospital for Children and Reston Hospital. We will meet and examine your newborn in the hospital, and to care for your newborn until you are ready to head home.

    HOSPITAL ADMISSIONS AND SERVICES
    Our physicians are privileged to coordinate and supervise the hospitalization and care of our patients at Inova Fairfax Hospital for Children and Reston Hospital. While this used to be common practice among pediatric practices, it is increasingly becoming less common in today's medical system. We believe that the relationship you have with your doctor should be carried over to the hospital should your child need to be hospitalized. Hospitalized children will be visited daily by our staff physicians scheduled at the hospital that day. Pediatric subspecialists may be recommended or consulted as needed.

    REFERRALS FOR YOUR CHILD
    If your child needs to see a specialist, follow these instructions to process a referral:
    1. Determine if your insurance company requires you to have a referral for the problem that your child has. PPOs do not need referrals.

    2. Obtain approval from your PCP (clinician) for the referral.

    3. Make an appointment with the specialist.

    4. Click on Referral Request form below, input the information requested, and click on submit.

    5. It takes approximately 5 - 7 business days to process your referral. Most referrals are now electronic, so there is no hard copy. Your specialist will receive the referral via fax.

    6. Alternative to submitting the form online, you can call the Virginia Pediatric Group referral line at and leave us all information required.

    There are many common myths about the referral process that we would like to highlight for you:

    Myth: Your Virginia Pediatric group Primary Care Physician (PCP) or nurse practitioner notifies the Virginia Pediatric group referral coordinator or your insurance company of your need to take your child to a specialist.
    Fact: No, the providers do not notify the referral coordinator or your insurance company. We rely on you to provide the information about your referral since frequently the specialist whom you will see or the time of the appointment changes. Please fill out our referral request form so that we have all of the information that we need to process your referral. You can submit this form to us over our web site or you can call our referral hot line (703) 573-2432 Ext 418, to leave the information. Please allow 5 - 7 days for processing.

    Myth: Your Virginia Pediatric group PCP or nurse practitioner knows which specialists take your insurance.
    Fact: With so many insurance companies, it is impossible for your Virginia Pediatric group PCP or nurse practitioner to know which specialists are approved by your company. Make sure that you ask the specialist's office if that specialist takes your insurance when you set up your appointment. If the specialist does not take your insurance, you may be subject to "out of network" costs.

    Myth: You will receive a copy or a phone call, when your referral is processed.
    Fact: No, please contact the specialist office 3 business days before your appointment. Your referral will be faxed directly to your specialist office.

    Myth: Your referral was processed so you won't be getting bills from the specialist's office.
    Fact: Our office can process a referral, but an insurance company can still deny coverage. Each company has different benefits and different plans within that company. What a company covers under your plan is based on your individual or group policy. It is your responsibility to know what coverage your insurance company allows. You may also be responsible for co-payments or deductibles. Call your insurance company to be sure.

    Myth: The specialist's office knows you will need a referral and will obtain one for you.
    Fact: Again, with so many different insurance companies and plans, it is difficult to know for certain who needs a referral and who does not. In general, if you have an HMO, you will need a referral. On occasion, the specialist's office will call Virginia Pediatric group for a referral, but do not depend on it. You are ultimately responsible and will have to pay for specialist's charges if you do not obtain a referral.

    DAYCARE / SCHOOL / CAMP / SPORTS FORMS
    We are happy to complete any health form for your child. Make sure your child has had a well child check-up within the last year. Then call the office to let us know that you need the form completed. You should have the form within ten business days. There is a charge of $10 for single sheet forms, and $15 for multiple sheet forms. Please allow 5-7 business days for forms. If you need your forms rushed sooner than seven days, they can be available for a fee of $25.00.

    PRESCRIPTION REFILLS
    You can submit prescription refills online. Click below to be connected to the link. We will call you if the refill is not approved.

    ADHD Medication Refill Policy: As of March 1, 2011 children who are prescribed ADHD medications require medical monitoring (growth assessment, blood pressure checks, drug effect and side effect) at least every six months. Patients who request medication refills according to their doctor’s prescribed schedules, and that are non urgent, will receive prescription refills free of charge. All other ADHD prescription refills incur increased office time, and therefore a $10 handling fee will be requested. Thank you for your cooperation.

    ADDITIONAL OFFICE SERVICES
    Adoption Consultations
    Several of our physicians can provide consultations to review the medical records of a potential adoption. There is a fee of $115.00 for this consultation. Please fax or bring with you all paperwork necessary for the appointment.

    ADHD
    Several of our physicians can help diagnose and treat children with attention problems. In addition, our ancillary staff can provide counseling services and in depth assessments to help diagnose complicated attention disorders. These services are coordinated with our medical, educational and/or developmental services when indicated.

    Education and Learning Disability Consultations
    Educational services include assessing children for learning disabilities and can be very helpful identifying educational pathways for children who are educationally challenged or gifted. These services very effectively complement the medical management of children with Attention Deficit Hyperactivity Disorder (ADD/ADHD).

    Behavioral consultations
    Our clinicians can provide behavioral consultations in which the patient is not in the office at the time of the visit, and instead the clinician meets with the parent alone to discuss behavior. There is a fee of $115.00 for this visit. Please fax or bring with you to the visit all necessary paperwork including reports from school and/or daycare as well as medical records related to the subject of the consultation.

    Child Development
    Our Developmental Specialist is available to perform routine assessments for healthy children at 8 to 10 months and 2 to 3 years. These evaluations cover the developmental milestones for infants and children, include discussions on your child's strengths and weaknesses and provide you with suggestions for developmental stimulation, toys and further reading. In depth evaluation and management of developmental problems and high risk children are also available.

    Ear Piercing

    Gynecology
    Several of our physicians can provide gynecology services, including treating menstrual problems, performing pelvic exams, and prescribing birth control medications. When making an appointment related to women's health or gynecology, please let the person making the appointment aware so that the proper time is permitted for the appointment.

    Home Care
    We are fortunate to work closely with a pediatric specialty home care agency. Dr. Libby is a certified Home Care Medical Director and oversees the medical operations of American Pediatric Consultants. They provide a variety of important services in the home, such as phototherapy for jaundice of the newborn, infant apnea monitors, home nebulizers for asthma, intravenous medications and nutrition, home nursing care for medically fragile children, and post-surgical care.

    International Travel
    Traveling internationally with your child? We are happy to schedule an office visit with you to review your travel plans and offer advice on immunizations and prophylaxis medications if needed. You can also view information about your destination at the CDC Travel Health website.
